A virtual assistant can keep a calendar. That was never the hard part.

A lot of contractors are being sold an assistant right now. Some of them should buy one. This page is about telling the difference, including the cases where the answer is not us.

The short answer

An assistant supports the work you are still running. A project manager is answerable for the job, so you stop running it. Both are real jobs. They are not the same purchase, and the difference only shows up when something goes wrong.

What an assistant is genuinely good at

It is worth being fair about this, because the model works when the work fits it. A good assistant is excellent at the things that are genuinely transferable:

  • Answering the phone and taking messages properly
  • Keeping a calendar and confirming appointments
  • Data entry, filing, chasing a document somebody already agreed to send
  • Formatting a bid package or an invoice you have already worked out

None of that needs trade knowledge, and all of it eats your evenings. If that is your bottleneck, hiring an assistant is a good decision and we will tell you so.

Where it stops working

1. Keeping the dates is not the same as knowing what the dates hold up

A calendar does not know that the countertop template waits on the backsplash, or that a slider gives up half its width in clear opening. It does not know that the window schedule says nominal 3060 and the inspector measures something else.

Those are the calls that decide whether the week goes well. An assistant can hold the calendar and still not know that Thursday is about to cost you a crew.

2. A desk needs more than one pair of hands

Scheduling, submittals, billing, supplier paperwork, compliance and the phone are different jobs. One person is good at two of them. The rest land back on your truck seat — and then the thing you hired help for is the thing you are still doing at 9pm.

3. In that model, nobody answers to your customer

This is the part that costs the most and gets mentioned least. An assistant works for you. Nothing in that arrangement is accountable to the person your job is actually for — the homeowner or the owner paying the draw.

A customer who cannot get an answer does not blame the calendar. He blames you. He tells the neighbour, and he does not call you for the next one. So we look after both of you: you get the job run, and your customer gets told where it stands.

4. The record leaves when the person leaves

If everything about your jobs lives in one person's head and one person's laptop, that is where it stays. It is also why replacing them costs more than their notice period. Where the record lives is a design decision, not a detail.

When an assistant is the right call

Say it plainly: if your admin volume is small, your jobs are running well, and what you need is somebody to answer the phone and keep the calendar, hire the assistant. It will cost you less and it will do the job.

We are the right answer at a different moment. That is when the desk has outgrown one pair of hands — when things are being dropped, when draws are going out late, when you are the one chasing everybody, or when you are still doing quotes at 9pm after a full day on site. If that is where you are, an assistant is not going to get you out of it, because you would still be the one running the desk.

What we actually do: a California project manager runs your jobs — scheduling, subs, change orders, draws, the phone — with an office behind them and our own software underneath. You keep the authority over money and commitments. Nothing goes out without your say-so.

Questions contractors ask

Is a virtual assistant the same as a project manager?

No, and the difference is not seniority — it is what each one is accountable for. An assistant supports the work you are already running. A project manager is answerable for the job: the schedule, the subs, the paperwork and the money. You can hire either one, but they are not the same purchase.

Can a virtual assistant run construction projects?

An experienced one can carry a lot of it. What they cannot do is make the trade calls that decide whether the week goes well — and those calls are where the money is. There is a version of this that works, and a version that quietly costs you more than it saves.

What is the difference between a project coordinator and a project manager?

A coordinator keeps track of the job. A manager is answerable for it. In practice: a coordinator can hold the calendar, and somebody still has to know that a 58 1/2 by 79 1/2 slider only gives you a 29 1/4 inch clear opening, and that the inspector measures clear opening rather than nominal size. Holding the dates is real work. Knowing what the dates are holding up is the job.

Will I still have to manage the person?

With a placed assistant, yes — that is what you are buying: a person who needs direction, priorities and answers. With us, managing the desk is the thing you are paying to stop doing. Your project manager has an office behind them, so the parts of the work they are not strongest at are still covered.

What happens when the person I hired leaves?

That is the most common way this goes wrong, and it is usually not the person's fault. If everything they knew about your jobs lived in their head and their laptop, it leaves with them and you rebuild from nothing. With us the record sits in a system you own. If we ever stop working together, every job, contact and document stays with you.

Are your project managers overseas?

No. Every project manager here is based in California, works U.S. business hours, and speaks English as a first language. There is no call centre, no time-zone lag, and nothing about this is outsourced. That is a deliberate cost, not an accident.

What if I only need help with the phones and scheduling?

Then hire the assistant, honestly. If your admin volume is small and your jobs are running well, a person to answer the phone and keep the calendar may be all you need, and it will cost you less. We are the right answer when the desk has outgrown one pair of hands — when things are being dropped, draws are going out late, or you are still doing quotes at 9pm.

How is this different from BuilderTrend or Procore?

Those are software you run yourself, and you still have to staff the person who lives in it every day. We include that person. The software is underneath them, doing the reading and the cross-checking, not sitting in a tab waiting for you.

Do you work with my trade?

Every trade. Roofers, electricians, plumbers, framers, concrete, drywall, HVAC, flooring, painters, remodelers and general contractors. All of California.
